AI Use Policy
Version 2 · Effective
EasyPostFlow Last updated: 27 October 2026
EasyPostFlow is operated by LIST HOUZE PTY LTD. In this policy, "we", "us" and "our" mean that company.
This policy explains how connections between your EasyPostFlow workspace and AI assistants work. Please read it together with our Terms of Service and Privacy Policy, which continue to apply, including your privacy and consumer rights.
Connecting is optional
You can connect your workspace to a supported AI assistant, such as ChatGPT (OpenAI), Claude (Anthropic), Gemini (Google), Microsoft Copilot or Grok (xAI), where that assistant supports connecting to EasyPostFlow. The Connections page in the app shows the current setup steps for each one. Availability can depend on your location, your plan, your role in the workspace and the assistant provider's own requirements. You can always create, approve and schedule posts in the EasyPostFlow app without an assistant.
You authorise the connection through EasyPostFlow's own sign-in and approval screen. Check the account and permissions shown before you approve. Never give your EasyPostFlow password, social media passwords, access tokens, API keys or verification codes to an assistant in a chat.
What a connected assistant can do
When you ask it to, and within the permissions you grant, a connected assistant can:
- read your brand profile (business details, offer, audience, tone and content pillars) so its suggestions fit your brand;
- update brand profile fields you ask it to change;
- look up your ideas and add new ones;
- look up your posts and their status, such as draft, approved, scheduled or published;
- create new draft posts with captions and hashtags for the platforms you choose;
- schedule a post that a person has already approved in the EasyPostFlow app.
Access is limited to the workspace you authorised and to your current role. A connection never gives extra rights or access to other workspaces. Ideas and drafts an assistant creates are saved in your workspace straight away, as drafts.
What a connected assistant cannot do
A connected assistant cannot approve a post. It also cannot:
- publish or schedule anything that has not been approved by a person in the app;
- edit a post after it has been approved;
- delete ideas, drafts or posts;
- upload media files;
- connect or disconnect social media accounts;
- invite or remove team members, or change roles;
- change workspace, security or notification settings;
- change your plan or billing;
- read or return social media access tokens, passwords or payment details.
People approve every post, in the app
Before any post is published, a person with permission to approve must open it in EasyPostFlow, check the caption, media, target accounts, date and time, and approve it there. An assistant can give you a link to the draft, which you open while signed in to EasyPostFlow. A reply in a chat is not an approval.
Approval covers only the version you saw. If the content, media, accounts or timing change, the post needs to be approved again. Asking an assistant to "repost" or "reuse" an earlier post creates a new draft, which also needs approval.
Once a post is approved and scheduled, it is published at its scheduled time without any further check. Cancel it in the app beforehand if you change your mind.
Check what the assistant produces
AI assistants can misunderstand instructions, make up facts, use the wrong tone, or write captions that break a platform's rules. Before approving, check claims, prices, offers, hashtags, mentions, links, the spelling of names and whether the media is suitable. You are responsible for the content you approve, including compliance with advertising and consumer law and each platform's policies, as set out in our Terms of Service.
Plans and limits
Your EasyPostFlow plan's features and limits apply the same way through an assistant as in the app; for example, a draft created by an assistant counts towards the same limits. We do not charge extra for using an assistant. Your assistant provider may have its own requirements or charges.
What information is shared
We return only the information needed for the task you ask for, such as your brand profile, ideas, draft captions, hashtags, schedule dates, connected-account names and publishing status. We do not return media files in bulk, access tokens, team members' contact details or billing information. Our Privacy Policy explains the records we keep and for how long.
The assistant provider handles the information it receives under its own terms, privacy policy and your account settings with that provider. How it stores information, whether it uses it to improve its models, and how it deletes it can differ by product and account type, so check your assistant's settings. We do not ask for your full chat history, but a request the assistant sends us may include text from your conversation.
Do not use an assistant connection to share passwords, access tokens, card details, tax file numbers or other government identifiers, health information or other sensitive personal information, including in captions and notes.
Your content and the people in it
You must have the rights to the images, video, music and text you use and any consent needed from people who appear in your content. You must not use an assistant connection to produce spam, misleading promotions, impersonation, harassment, hate, or content that breaks a platform's community guidelines or advertising policies, and you must disclose paid partnerships where the law or a platform requires it.
Disconnecting
You can revoke a connection in EasyPostFlow at any time. Revoking stops further access through that connection, including any new requests using its existing credentials. You can also remove the connection in your assistant's settings, but revoke it in EasyPostFlow as well to make sure access is withdrawn on our side.
Revoking does not undo completed actions or delete ideas and drafts already created; manage those in the app. A request already being processed may finish before revocation takes effect. Information already shared may remain with the assistant provider under its terms; use that provider's controls to manage it.
Changes and contact
We show the effective date of changes and give notice, or ask for agreement, where our Terms of Service or the law requires. Any new permission must be authorised by you before it is used. We may restrict a connection to deal with security, misuse or legal concerns under our Terms of Service.
