Terms of Service

Version 4 · Effective

EasyPostFlow Last updated: 27 October 2026

1. Who you are dealing with

EasyPostFlow is operated by LIST HOUZE PTY LTD, an Australian company. In these terms, "we", "us" and "our" mean LIST HOUZE PTY LTD. "You" means the individual or business entering into this agreement.

The "Service" means easypostflow.com, the EasyPostFlow web app at app.easypostflow.com, any mobile app we publish, and the related functions we provide.

2. Accepting these terms

You agree to these terms when you accept them during registration or purchase, or when you continue with a sign-in option that shows a notice that you agree to them. If you act for a business, you confirm you have authority to bind it. Team members you invite must comply with the account and acceptable-use requirements relevant to their access.

The plan and price information shown when you subscribe, and any additional terms expressly agreed for that subscription, form part of your agreement. Our Privacy Policy explains how we handle personal information, and our AI Use Policy explains how AI assistant connections work. Agreeing to these terms does not give consent for optional marketing or any other processing that needs separate consent.

3. Accounts, teams and availability

  • You must be at least 18 and legally able to enter this agreement.
  • Provide accurate account and business details and keep them current.
  • Protect your sign-in details and any second-factor devices, and manage the access you give team members. You are responsible for use you authorise and for taking reasonable steps to prevent misuse. This does not make you responsible for a security failure caused by us.
  • Tell us promptly if you suspect unauthorised access, or that something was published that your workspace did not approve.
  • Only connect social media accounts that you own or are authorised to manage.
  • Where team features are available, a workspace owner may invite team members up to the limit of their plan and assign roles. The owner is responsible for the people they invite, for setting roles appropriately and for removing people who should no longer have access. We act on instructions from any team member within that member's role.

The Service is available internationally, subject to applicable law and technical availability. Features, payment methods and supported platforms can differ by country. Availability does not mean the Service meets every country's advertising, consumer or content rules for your business; you must check that its features suit your use. This does not reduce our own legal obligations or any mandatory rights you have.

4. What the Service does

EasyPostFlow provides tools for planning, drafting, approving, scheduling and publishing social media content, managing a brand profile and media, working with a team, and connecting a supported AI assistant. The features available to you depend on your plan and on what is described in the app and on the pricing page when you subscribe.

Publishing depends on third-party platforms. We submit your approved content to the platform at the scheduled time using the connection you authorised. The platform decides whether and how it is published and may reject, delay, remove, restrict or alter content under its own rules. We are not a party to your relationship with any platform and do not control its policies, review processes, algorithms, outages or API changes.

You are responsible for reviewing content before approving it. An approved and scheduled post will be published at its scheduled time without further review unless you cancel it first.

We may improve or change the Service. If a change materially reduces a paid feature during a period you have already paid for, we will give reasonable advance notice where practicable, and you may end the affected subscription and receive a proportionate refund for the unused prepaid period. Urgent changes needed for security, legal compliance or a platform's requirements may take effect sooner, with notice as soon as reasonably practicable.

5. Your content and the people in it

You keep your rights in the brand details, logos, captions, images, videos, ideas, notes and other material you enter or upload ("Your Content"). Uploading content does not transfer ownership to us, or give you ownership of material that belongs to someone else.

You give us permission to host, copy, process, resize, transcode, display and transmit Your Content to provide and support the Service, carry out your instructions and comply with the law. This includes storing media, generating previews and submitting content to the platforms you connect when you approve it. This permission lasts only as long as needed for these purposes, including permitted retention under the Privacy Policy and section 5.1. Once content is published to a platform, the licence you give that platform under its terms also applies.

You must:

  • have the rights or authority needed to upload, use and publish Your Content, including images, video, music and text created by others;
  • have any consent needed from people who appear in or are identified by Your Content;
  • check the accuracy of claims, prices, offers and contact details before approving a post;
  • comply with the content rules and terms of each platform you publish to;
  • comply with advertising and consumer law, including the Australian Consumer Law, and clearly disclose paid partnerships, sponsorships and affiliate arrangements where the law or a platform requires it;
  • avoid uploading sensitive personal information or information that is not needed for the Service.

5.1 Personal information we process on your behalf

This section is part of our agreement for personal information in Your Content that we process on your behalf ("Workspace Personal Information"). Where data protection law treats you as controller and us as processor, it applies as a data processing agreement. Our handling of account, billing and operational information for our own purposes is explained in the Privacy Policy.

Scope. We process Workspace Personal Information to provide the Service and carry out your documented instructions, which may involve storing, organising, displaying, sending to connected platforms, exporting and deleting content. The people concerned may include your customers, staff, collaborators and others appearing in your content. Processing lasts while we provide the Service and until the information is returned or deleted, subject to legally permitted retention.

Instructions and responsibilities. Your instructions are this agreement, your use of the Service (including approvals and schedules) and other lawful instructions agreed in writing. You are responsible for the lawfulness and accuracy of the information you supply, the notices and permissions it needs, and the instructions you give. We process Workspace Personal Information only on those instructions unless the law requires otherwise. If we believe an instruction breaks data protection law, we will tell you promptly and may pause it while the issue is resolved.

Confidentiality and security. People we authorise to process Workspace Personal Information are bound by confidentiality, and we maintain technical and organisational measures appropriate to the risks. Section 8 of the Privacy Policy describes our approach.

Subprocessors. You give general written authorisation for us to use the providers listed in section 6.3 of the Privacy Policy where they process Workspace Personal Information for us. Social media platforms and AI assistant providers you choose to connect act on your authorisation and under their own terms; they are not our subprocessors for that activity. Before adding or replacing a subprocessor we will notify you by email or in the Service, normally at least 30 days in advance, and give you a reasonable opportunity to object. If an objection cannot be resolved, you may end the affected service before the change and receive a proportionate refund of unused prepaid fees.

Assistance and incidents. Taking account of the nature of the processing, we will help you with individual rights requests, security obligations and breach reporting, and will notify you without undue delay after becoming aware of a personal data breach affecting Workspace Personal Information.

Return and deletion. At the end of the processing, we will, at your choice, return or delete Workspace Personal Information and delete remaining copies unless the law requires retention. Use the data export in the app, or ask us, before account deletion begins. Retention and deletion are described in section 12 of the Privacy Policy.

Information and audits. We will make available information needed to show compliance with these obligations and allow and contribute to reasonable audits by you or a qualified auditor acting for you, subject to reasonable protection of security, confidentiality, other customers and service continuity, and normally no more than once in 12 months.

International transfers. You authorise processing in the locations disclosed in the Privacy Policy, subject to applicable law. Where a transfer needs additional contractual safeguards, those arrangements must be in place before the transfer. Contact legal@easypostflow.com for any additional documentation you need.

Mandatory data protection law takes precedence over any inconsistent term.

6. Connected social media accounts

You may connect the social media accounts we support, which are shown on the Connections page in the app (for example, Facebook Pages and Instagram professional accounts). Supported platforms change over time. By connecting an account you:

  • confirm you own it or are authorised by its owner to manage it and publish to it;
  • authorise us to store the access credentials the platform issues and to use them only to carry out your workspace's instructions;
  • agree to follow the platform's terms, policies and content rules for content published through the Service, including the Meta Platform Terms and TikTok Terms of Service where relevant.

We do not control a platform's availability, publishing limits, media requirements, review processes or API changes. A platform may expire, revoke or restrict a connection at any time, including for reasons unrelated to you. When a connection stops working we will show that in the app and try to notify you, but scheduled posts cannot be published through a broken connection. Reconnect promptly if you see a warning.

You can disconnect an account at any time on the Connections page, and you can also remove EasyPostFlow in the platform's own settings. Disconnecting stops future publishing to that account and cancels pending scheduled posts to it. It does not remove content already published.

Access credentials are stored encrypted and used only for the actions you authorise. We do not sell your social media data. The Privacy Policy explains how we handle connection information.

7. Professional advice and results

EasyPostFlow provides content planning and publishing tools. We are not your marketing agency, advertising lawyer or compliance adviser. Suggested posting times, ideas and performance figures are for information only. Performance information comes from the platform and may be delayed, incomplete or revised by it.

We do not promise any level of reach, engagement, followers, sales or other outcome. You are responsible for your content and claims and for complying with the advertising, consumer, privacy, intellectual property and electoral laws that apply to what you publish. This section does not exclude our responsibility for our own service obligations or for errors the law makes us responsible for.

8. Acceptable use

You must not use the Service to:

  • publish content you know is false, misleading or deceptive, or that impersonates another person or business;
  • publish spam, scams, unlawful promotions, or content that breaches a platform's community guidelines or advertising policies;
  • publish content that infringes copyright, trade marks, privacy or other rights, including images, video or music you are not licensed to use;
  • publish content that is defamatory, harassing, hateful, discriminatory, sexually explicit, or that promotes violence or illegal activity;
  • connect an account you are not authorised to manage, or publish to an account without its owner's authority;
  • use automation to evade platform rate limits, manipulate engagement, or operate fake or inauthentic accounts;
  • upload malware or interfere with the Service or its security;
  • resell or white-label the Service without our written agreement;
  • copy, scrape or reverse engineer the Service in breach of applicable law or another person's rights.

These restrictions do not stop you exporting Your Content with the available tools or exercising a right the law gives you. Section 14 explains how we deal with misuse. If a platform suspends your account or removes content because of what you published, that is between you and the platform; we may pause a connection or workspace where continued publishing would put our platform access or other customers at risk.

9. Plans, pricing and billing

9.1 Plans

The features, usage limits, number of connected accounts, team seats and publishing allowances of each plan, including any free plan, are described on the pricing page. We only list a feature as included when it is available; features in development are marked as coming soon.

9.2 Paid plans

Paid plans are offered on monthly or annual subscriptions where available. The current price, included features, usage limits and billing period are shown on the pricing page and confirmed before purchase. The price confirmed when you subscribe applies for the period you buy, subject to section 9.5 for later renewals.

9.3 Trial

Where a free trial of paid features is offered, its length and terms are shown when it starts. No card is required for a standard trial. When the trial ends, the account moves to the free plan unless you choose a paid subscription. We do not charge you when a trial ends unless you have chosen a paid plan and authorised payment.

9.4 Renewal and cancellation

Paid subscriptions renew automatically for the monthly or annual period selected until cancelled. You can cancel through the billing controls in the app or by emailing support@easypostflow.com. We will honour a cancellation request received before renewal, even if we process it afterwards. Unless a refund or earlier termination right applies, paid features continue until the end of the period already paid for, after which the account moves to the free plan.

When an account moves to the free plan, the free plan's limits apply from then on: connected accounts, team seats or scheduled posts above those limits may be paused until you reduce usage or subscribe again. We will not delete Your Content because your plan changed. Cancelling a subscription does not delete your account or content.

9.5 Price changes

We will give at least 30 days' notice of a price increase for an existing subscription. The increase applies only to renewals after that notice period, and you may cancel before it takes effect.

9.6 Payments and refunds

Stripe processes subscription payments. We do not store full card numbers or card security codes.

Fees are generally not refunded just because you change your mind part-way through a paid period. This does not limit any statutory cancellation right, consumer guarantee, refund set out in these terms, or other right that cannot lawfully be excluded.

If a payment fails, we may retry it and will notify you. After giving you a reasonable opportunity to fix it, we may restrict paid features while payment is outstanding, except where immediate restriction is reasonably needed to address fraud or misuse.

9.7 Currency and taxes

Prices are in Australian dollars unless another currency is shown. The amount payable, billing period and any taxes (including GST where it applies) are shown before you confirm a purchase. Your bank or card provider may charge currency-conversion or international transaction fees under its own terms.

10. Scheduling and publishing

A scheduled post is published as close as reasonably practicable to its scheduled time, in the time zone shown when you scheduled it. Short delays can occur because of queue processing, platform response times or outages; for time-critical posts, allow a margin and check the result.

"Published" means the platform accepted the post and returned a post identifier. It does not guarantee that the platform will keep the post visible, show it to any audience or display it exactly as previewed. Platforms can change formatting, crop media, remove links or remove content under their rules. If a publish attempt fails, we will show the failure in the app and, where enabled, notify you. We may retry a limited number of times but do not guarantee that a failed post will be published.

We may apply reasonable publishing limits, rate limits and anti-abuse checks, including to meet platform requirements that apply to our app as a whole.

11. Availability and support

We provide the Service with reasonable care and skill. Interruptions can happen, including for maintenance, technical faults, platform API changes and third-party outages. We will take reasonable steps to minimise disruption and to communicate significant known issues where practicable.

No specific uptime percentage, response time or service credit is promised unless your plan or a separate agreement expressly includes one. This does not limit consumer guarantees or any other mandatory right.

12. Intellectual property

We or our licensors own the Service software, branding, interfaces, templates and other materials we supply, apart from Your Content. You may use them as needed to access the Service and to use the content it helps you produce for your business, subject to these terms.

Third-party and open-source components remain subject to their own licences. You must not use our name or logo to suggest endorsement or affiliation without permission. Facebook, Instagram, Meta, TikTok, ChatGPT, Claude, Gemini, Copilot, Grok and other platform and product names are trade marks of their owners. EasyPostFlow is not endorsed by or affiliated with them.

13. Third-party services

The Service uses providers for hosting, databases, authentication, storage, email, security and payments, as described in the Privacy Policy. Section 5.1 applies to providers acting as our subprocessors.

When you connect a social media platform or an AI assistant, its own terms and privacy practices apply to that separate relationship. We remain responsible for our own obligations and for any provider conduct the law or our agreement makes us responsible for.

13.1 Using EasyPostFlow through AI assistants

Access. You may connect your workspace to a supported third-party AI assistant, such as ChatGPT, Claude, Gemini, Microsoft Copilot or Grok, where that assistant supports connecting to EasyPostFlow. You must have authority to connect the workspace. The connection is limited to the permissions you grant and your current role, and cannot be used to reach another workspace or get around role restrictions.

What an assistant can do. Within those permissions, a connected assistant can read your brand profile, ideas, posts and their status; update brand profile fields you ask it to change; add ideas; create draft posts; and schedule a post that a person has already approved in the EasyPostFlow app.

Approval stays with people. An assistant cannot approve a post. A draft created by an assistant is only published after a person with permission to approve has opened it in the app, checked the content, media, accounts and timing, and approved it there. A reply in a chat is not an approval. Approval covers only the version shown; a changed post needs a new approval.

What an assistant cannot do. The connection cannot approve or edit approved posts, publish unapproved content, delete content, upload media, connect or disconnect social accounts, invite or remove team members, change roles, change workspace or security settings, or change your plan or billing.

An action you actually authorise through the connection is treated as your instruction within that authorisation. This does not make an unauthorised action yours, excuse a failure of our approval or security controls, or remove our responsibility for our own breach, negligence or unlawful conduct.

Accuracy. Assistant output may be wrong, incomplete, off-brand or unsuitable for a platform's rules. Review captions, claims, hashtags, mentions and media before approving. Do not share passwords, access tokens, card details, government identifiers, health information or other sensitive personal information through the connection. Section 8 applies to content created with an assistant.

Plans and disconnection. Your plan's features and limits apply in the same way through an assistant as in the app, and we do not charge extra for using one. You can revoke the connection in the app at any time. Revoking stops further access but does not undo completed actions, delete drafts already created, or delete copies held by the assistant provider. Our AI Use Policy gives more detail.

14. Suspension, termination and deletion

Your rights. You may stop using the Service, cancel a subscription under section 9, or delete your account. Download or request a copy of the content you need before deletion. When you delete your account, access stops immediately and you have 30 days to ask support to restore it; after that, your content is permanently deleted as described in the Privacy Policy and cannot be recovered.

Our rights. We may suspend a workspace, a connection or an individual scheduled post to the extent reasonably necessary to address a material breach of these terms, unlawful or platform-prohibited content, a serious security risk, a platform's enforcement action against our app, or a legal requirement. Where practicable, we will explain why, give you a reasonable opportunity to fix a remediable issue, and restore access once it is resolved. Immediate action may be needed for serious abuse, security, platform or legal reasons.

We may terminate an account for a material breach that remains unresolved after reasonable notice, or immediately for a serious breach that cannot reasonably be remedied or where the law requires it. Where lawful and safe, we will give you a reasonable opportunity to retrieve Your Content. Any retention of prepaid fees after termination must be lawful and proportionate.

Discontinuation. If we discontinue the Service for business reasons, we will normally give at least 30 days' notice, a reasonable opportunity to retrieve content, and a refund of the unused part of prepaid fees.

Information kept after termination is governed by the Privacy Policy and section 5.1.

15. Consumer rights

Nothing in these terms excludes, restricts or modifies a consumer guarantee, remedy, cancellation right or other protection that cannot lawfully be excluded under the Australian Consumer Law or another applicable law. Where Australian Consumer Law guarantees apply, you may be entitled to have a failure fixed, to cancel, to a refund or to compensation, depending on the failure. If mandatory law in your country gives you additional protections, those protections still apply.

16. Responsibility and liability

Each party is responsible for loss to the extent caused by its own breach of this agreement, negligence or unlawful conduct. You are responsible for Your Content, the accounts you connect and the accuracy of the information you supply. We remain responsible for our own service obligations.

We are not responsible for the acts, omissions, outages, policy decisions or API changes of a social media platform or AI assistant provider, except to the extent the law or our agreement makes us responsible. Neither party is liable for loss to the extent caused by the other party's acts or omissions or by a failure to take reasonable steps to reduce avoidable loss. To the extent the law allows, neither party is liable for loss that was not reasonably foreseeable when this agreement was made.

This section does not exclude or limit liability for fraud, wilful misconduct, breach of confidentiality or data protection obligations, or any liability that cannot lawfully be excluded or limited, and does not limit your rights under section 15.

17. Third-party claims

If a third-party claim concerns Your Content, a connected account or your use of the Service, we will tell you where legally permitted and cooperate reasonably in responding. You are responsible only to the extent the claim results from your breach, negligence or unlawful conduct and the law makes you responsible. You are not required to cover claims caused by our own breach, negligence or unlawful conduct. Neither party may agree a settlement that imposes an admission or obligation on the other without that party's consent, which must not be unreasonably withheld.

18. Changes to these terms

We may update these terms for changes to the Service, supported platforms, legal or platform requirements, or reasonable operational needs. We will give at least 30 days' notice of a material change affecting an existing subscription, unless a shorter period is needed to meet a legal or platform requirement or to address an urgent security issue.

If a change materially disadvantages you, you may end the affected subscription before it takes effect and request a proportionate refund of unused prepaid fees. Continued use after a properly notified change takes effect means you accept it only to the extent the law allows. Changes do not remove rights you have already gained.

19. Governing law and disputes

These terms are governed by the laws of New South Wales, Australia, subject to any mandatory laws that apply to you. The courts of New South Wales have non-exclusive jurisdiction. If a dispute arises, contact legal@easypostflow.com first so we can try to resolve it. This does not prevent urgent legal action, a complaint to a regulator, or the exercise of a mandatory right.

20. General

  • If a provision is unenforceable, it applies only to the extent the law permits and the rest of these terms continue to operate.
  • A failure to enforce a right immediately does not waive it.
  • You may transfer your agreement with our consent, which we will not unreasonably withhold. We may transfer it as part of a genuine business sale or restructure if the new owner takes on our obligations, with notice to you and a right to cancel and receive a proportionate refund if the transfer materially reduces your rights.
  • These terms, the plan details accepted at purchase, the Privacy Policy, the AI Use Policy and any expressly agreed additional documents make up the agreement about the Service.
  • If documents conflict, applicable mandatory law takes priority, then any separately signed agreement to the extent it expressly varies these terms, then the accepted plan terms for plan-specific matters, then these terms.
